Product Safety Documentation Hub

For businesses handling chemicals and scented products, providing access to accurate compliance and safety documentation is a critical statutory duty. We developed a dedicated Product Safety Documentation Hub to serve as an elegant, user-friendly frontend that extends the company's existing help centre, making it easier than ever for customers to find the technical documents they need.

The Challenge

The business needed a reliable way to distribute vital files such as Safety Data Sheets (SDS), allergen declarations, IFRA certificates, and cosmetic assessments. Crucially, this system had to be separate from the primary e-commerce store. E-commerce platforms naturally hide or delete out-of-stock or discontinued items, but for compliance reasons, customers who previously purchased these items still require permanent access to their safety documentation.

The Solution

We built a standalone portal that links directly to the business's bespoke stock management system, where the central document repository is managed. Key features of the hub include:

• Tiered Access Control: To balance compliance with commercial protection, crucial SDS documents are publicly accessible without a login. Other technical documents are securely gated behind a registration wall, unlocking automatically once a user's account is approved.
• Robust Search and Filtering: Users can effortlessly filter by document type or search the database using product names, company SKUs, or specific CAS numbers.
• Optimised Browsing: The interface relies on a clean, paginated structure to handle large volumes of data without overwhelming the user.
• Permanent Archiving: Regardless of an item's current stock status or if it has been completely discontinued, its safety documents remain securely archived and accessible within this system.

Future Development

The platform was built with scalability in mind. The next phase of development will introduce automated account creation for new customers. Upon purchasing, relevant safety documents will automatically populate within their personal account pages and be attached or linked directly within their order confirmation emails, creating a completely frictionless compliance experience.
